JOB DESCRIPTION:

 

      Seeking a self-starter with high levels of proficiency with liaising with vendors, securing sale tenders, authoring contract documents, maintaining strategic relationships with suppliers, and evaluating vendor performance.

Vendor Coordinator will be reporting into the Site Director, the Vendor Coordinator will be responsible for the global coordination of the Vendor On-Boarding and Vendor Lifecycle Management process for Live Celestial. This position will be a “hybrid” position; taking place online and in-person. Vendor Coordinator will work within the Procurement function for Live Celestial. Involving every activity necessary for obtaining the goods and services Live Celestial needs to support its boutiques and profit centers daily operations, including sourcing, negotiating terms, purchasing items, receiving and inspecting goods as necessary and keeping records of all the steps in the process.

This role will provide support to the business through providing guidance to vendor and supplier relationships on the processes required to bring new vendors and suppliers onto the Live Celestial Approved Vendor & Supplier Lists and furthermore will have responsibility of establishing and coordinating a vendor management process for high value or high risk vendor relationships.

The Boutique Vendor Coordinator will be the first point of contact for areas of the business seeking guidance on the On-Boarding Process, and they will maintain an inventory of all in-progress vendors, liaise with the Compliance Team, the Procurement Sourcing Team, the Technology Team, and the Legal Team and will track the vendor on-boarding engagements through to completion, contract execution, and contract record management.

 

Responsibilities May Include:

  • Communicating with vendors to resolve any issues that may arise during the event planning process
  • Ensuring that vendors have adequate time to prepare for their services
  • Coordinating with other members of the event planning team to ensure all aspects of the event are covered
  • Providing customer service to clients during the event planning process
  • Coordinating with event sponsors to ensure all requirements are met
  • Managing the budget, including working with vendors on pricing to ensure it stays within the parameters set by the client
  • Reviewing contracts and making sure they are signed and returned to all parties involved in the event
  • Coordinating with security staff to ensure they are aware of any special needs of guests or other attendees at an event
  • Determining the number of workers needed for an event based on the size of the venue and other factors such as weather conditions or safety concerns
